Employee Appraisal Software: 10 Options Compared for 2026

Informational banner with the article title: 'Employee Appraisal Software: 10 Options Compared for 2026' and purple doodles around.

Your HR team is running annual reviews from a shared spreadsheet. Managers need chasing by email, employees copy objectives into Word templates, and nobody can confidently say which development actions remain outstanding. By sign-off, some goals have already changed.

Employee appraisal software should replace that disconnected administration with a controlled review cycle, covering objectives, employee input, manager feedback and follow-up. The right choice depends on whether you need a dedicated appraisal tool, a broader HR system or a process connected to your Microsoft environment.

For Microsoft-centric organisations, HRManagement365's Talent & Performance module deserves consideration. HRManagement365 is a UK-based implementation partner that builds HR solutions on Microsoft Power Platform and Dynamics 365. Its work includes implementation, integrations, customisation and its own HR applications, rather than software resale alone.

The alternatives below range from specialist performance platforms to broader HR systems. Check which features are standard and which need configuration, particularly Microsoft integrations, pricing and trial availability.

Buying principle: A completed appraisal form is not evidence of a useful conversation. Check whether managers and employees can agree meaningful objectives, record supporting evidence and follow through on development actions.

Appraisal records also need appropriate governance. Check UK requirements against GOV.UK and ICO guidance. For EU deployments, assess EU GDPR and the employment requirements of each relevant member state. A UK hosting location or Microsoft connection alone does not settle those questions.

Table of Contents

1. Talent & Performance for connected reviews and development

HRManagement365 Talent & Performance suits organisations that want appraisals inside a connected Microsoft-based HR environment rather than another isolated application. It brings structured review cycles, employee and manager participation, feedback, objectives and development actions into a repeatable process.

HRManagement365 Talent & Performance appraisal overview

What it replaces: separate appraisal documents, review trackers and development-action spreadsheets. Its modular approach also allows performance management to sit alongside employee records and training processes.

The practical advantage is continuity. An appraisal shouldn't finish with a signed document. A development action needs an owner, a target date and a way to check progress, as outlined in HRManagement365's guidance on appraisals at work.

Where configuration matters

HRManagement365 can configure workflows, approvals, Power Automate processes, Power BI reporting and integrations, and develop custom HR applications on Dataverse. These must be scoped as configured or extended capabilities where applicable, not assumed to be standard Hubdrive or Microsoft features.

  • Strengths: consistent review cycles, collaborative input and a route from objectives to development activity within a wider HR platform.
  • Limitations: the available product information doesn't specify detailed templates, calibration tools or reporting coverage. Request a demonstration against your actual review process.
  • Microsoft fit: Dynamics 365, Power Platform and Dataverse underpin the solution. Confirm the precise Teams, Outlook, Business Central or Finance & Operations workflows included in your proposal.
  • Commercial position: obtain a scoped quote and confirm whether a trial or configured demonstration is available.

For competency-led reviews, the skills assessment insights from Turn On Work provide a useful starting point for defining what managers should assess.

Before purchase, establish permissions, retention rules and employee access to records. A configurable platform gives you flexibility, but somebody still needs to own the process design and ongoing administration.

2. Appraisd, now Talos Perform

Keep your existing HR system and replace the appraisal process around it. That's the strongest reason to consider Appraisd's performance-management platform, now presented as Talos Perform.

Appraisd performance-management overview

This is a specialist option rather than a complete employee-records, payroll or workforce platform. Its published capabilities include configurable reviews, scheduled check-ins, objectives, development, feedback and completion reporting.

The trade-off is depth versus another system to manage. Flexible templates can accommodate different job families and review purposes, but HR must maintain those variations and keep employee information synchronised.

Check the connection, not just the logo

The vendor highlights Microsoft Teams and Outlook integrations. Ask it to demonstrate what employees can really do through those connections: receive notifications, arrange meetings, open reviews or complete actions. None of those automatically establishes a Dynamics 365 data integration.

  • What works: a dedicated performance focus, configurable workflows and support for self-assessment, manager reviews and wider feedback.
  • What doesn't replace core HR: employee administration, payroll and the authoritative organisational structure still need a home.
  • Pricing and trial: pricing is quote-led. Confirm the current product name, contracting entity, implementation charges and evaluation arrangements.

Test the employee experience using realistic responses, not empty templates. HRManagement365's guide to employee comments on appraisal can help you prepare that demonstration.

For UK and EU deployment, confirm processing locations, subprocessors, access controls and how peer feedback is disclosed. Don't assume that an anonymity setting makes feedback impossible to attribute in a small team.

3. Breathe HR

For a smaller employer, replacing paper reviews without introducing a heavyweight performance framework may be the priority. Breathe's performance appraisal software combines appraisal administration with broader HR basics.

Breathe HR performance appraisal overview

The vendor describes scheduled review conversations, calendar links and automated reminders. These are useful foundations when managers currently depend on HR emailing them a form.

Breathe lists subscriptions starting at £24 per month excluding VAT, with pricing dependent on employee numbers, on its performance product page. Confirm the package, current terms and trial arrangements before budgeting.

A practical fit for simpler reviews

  • Replaces: separate review schedules and appraisal records maintained outside everyday HR administration.
  • Strength: a UK-oriented HR platform that can keep review activity close to employee information.
  • Limitation: don't assume advanced calibration, complex competency frameworks or extensive performance analytics are included.
  • Microsoft connection: calendar links aren't proof of a Teams application or a Dynamics 365 connector. Request a demonstration of the specific integration you need.

The vendor says data is held in a UK-based data centre. That doesn't remove the need to assess contractual terms, support access, exports and retention.

Use a realistic scenario when comparing performance management tools: a manager changes roles during a review cycle, an employee disputes a comment, and HR needs to preserve the record. How the system handles those events matters more than an attractive blank form.

4. Sage HR

Goals, feedback and formal reviews don't have to live in separate applications. Sage HR's Performance module combines individual, team and company goals with wider feedback processes.

Sage HR performance module overview

Its published offering includes OKRs, progress tracking, parent-goal relationships, surveys, quick feedback, recognition and meeting scheduling with calendar integration. That makes it worth considering when your requirement extends beyond annual appraisal administration.

Sage's UK offering lists core HR and leave management at £5 per employee per month, Performance at £2.50 per employee per month, and an advertised 30-day trial, according to its Performance information. Treat Performance as an add-on, not a standalone licence.

A module price isn't the cost of the operating model. Include core subscriptions, implementation, data preparation and the administration needed to keep goals useful.

Where Sage fits

What it replaces: disconnected goal trackers, feedback tools and review documents, provided the selected modules cover your process. It may appeal to organisations already considering Sage HR, but sharing a vendor name doesn't prove integration with every Sage product.

For Microsoft-centric employers, distinguish calendar integration from employee-data synchronisation. Ask specifically about Teams, Outlook authentication and Dynamics 365 interfaces, including who maintains any connector.

Before purchase, test reviewer permissions, feedback visibility and export options. If surveys and informal recognition feed into formal ratings, employees should understand that relationship and managers should apply it consistently.

5. PeopleHR

Start with the base HR requirement, not the appraisal add-on. PeopleHR is a broader HR platform whose optional performance capability can keep reviews connected to employee records.

PeopleHR pricing and packages overview

That approach makes sense if you're also replacing fragmented employee administration. It makes less sense to move core HR just because an appraisal module looks inexpensive.

The PeopleHR pricing page lists its Performance Management add-on at £2 per employee per month. Confirm the required base plan, contract terms, setup costs and whether your evaluation includes the performance functionality.

What to demonstrate

  • Review depth: show employee input, manager responses, goals, feedback and sign-off using a completed example.
  • Record continuity: demonstrate how reviews remain accessible after a manager changes or an employee moves department.
  • Microsoft integration: establish whether Teams and Outlook support is available, and separately scope any Dynamics 365 data exchange.
  • Reporting: ask HR to identify overdue reviews and unresolved development actions without manually combining exports.

The advantage is proximity to employee records. The limitation is that an optional HR module shouldn't be assumed to match a specialist performance platform's configuration or calibration depth.

For UK and EU use, check who can see historical reviews after organisational changes and how records are retained when somebody leaves. Ask for a full export example before signing, including comments, attachments and approval history, not just employee names and final ratings.

6. Factorial

Say you want to standardise reviews across departments while also consolidating wider HR administration. Factorial's performance-management offering is designed for that broader-platform decision.

Factorial performance-management overview

The vendor describes reusable and configurable templates, review periods, timelines, automatic participation reminders and progress visibility. Multi-rater feedback can support a wider view of performance, provided participants understand its purpose.

The UK offering advertises plans starting at £5.40 per user per month, as described in Factorial's performance-management product information. Don't assume that entry pricing includes every performance capability; request written confirmation of inclusions and trial access.

Broad coverage brings a broader decision

Factorial can replace more than appraisal spreadsheets, but that's also its principal trade-off. An organisation seeking only lightweight reviews may take on more platform change than it needs.

  • Useful strength: configurable cycles and templates can give HR a common process while allowing role-specific questions.
  • Boundary to check: establish reporting depth, calibration support and how development actions continue after a cycle closes.
  • Microsoft fit: require evidence of the actual Teams, Outlook and Dynamics 365 connections proposed, including data ownership and support responsibilities.

The vendor displays ratings from Capterra, G2 and the Apple App Store. Treat these as review signals, not proof that your appraisal workflow or integration will work.

For EU operations, assess the arrangement country by country. Check language needs, employee access, retention and any local consultation requirements before imposing a common review template across all locations.

7. CharlieHR

CharlieHR is worth considering when a small UK business wants employee records, onboarding, time off and reviews in the same place. The appeal is fewer administrative tools, rather than a specialist performance-management operating model.

CharlieHR platform overview

The vendor describes performance reviews and multi-rater feedback within its broader offering. Check exactly which review features are included for your team, rather than assuming every advertised capability belongs to every package.

CharlieHR advertises a seven-day free trial and pricing from £21 per month for teams of 1–4 on its website. Use that evaluation to complete a review and retrieve the resulting record, not just browse the interface.

Keep the evaluation proportionate

  • What it replaces: everyday HR spreadsheets and separate review documents for teams that don't need elaborate workflows.
  • What to challenge: reporting depth, complex approval chains, competency frameworks and calibration across larger management populations.
  • Microsoft connection: confirm Teams and Outlook functionality directly. Don't treat a calendar feature as evidence of a maintained Dynamics 365 integration.

A small employer still needs clear access boundaries. Check whether founders, administrators and managers receive different permissions, and what changes when someone stops managing an employee.

The practical limitation is scale of process, not headcount alone. A small regulated employer with detailed competency evidence may need more structure than a larger organisation running straightforward developmental conversations. Choose against the complexity of the review model, not the size label on the sales page.

8. Givver

Development follow-through is the feature to examine first in Givver's performance reviews. The vendor connects review activity with development plans, comments, attachments and employee records.

Givver performance review overview

Its published process supports self, manager and peer input, reusable templates, configurable cycles, reminders and completion visibility. Exported review PDFs can be useful, but the ongoing action record matters more than the final document.

Givver lists performance reviews within People Pro at £6 per employee per month on its performance review page. Confirm the full platform commitment, bundled functionality, implementation costs and trial position.

Test the action after the appraisal

Ask the demonstrator to assign a development activity, change its owner and show HR which actions remain unresolved. Then check whether employees can see progress without asking HR for an update.

  • Strength: practical review administration alongside peer input and development planning.
  • Limitation: validate reporting and available public customer evidence against your requirements rather than assuming maturity from the feature list.
  • Microsoft fit: confirm Teams and Outlook support, available interfaces and the work required to connect Dynamics 365.

For UK and EU governance, review attachment permissions and PDF handling carefully. Once a manager downloads a review, that copy needs appropriate handling outside the application as well.

Givver may replace appraisal forms and action trackers within a wider HR platform. It won't remove the need for managers to agree realistic development commitments or for HR to challenge actions that remain perpetually overdue.

9. AppraisalSoftware.co.uk

If you don't want to replace core HR, a dedicated appraisal-campaign tool may be enough. AppraisalSoftware.co.uk focuses on reusable questions, employee and manager responses, reminders and campaign progress.

AppraisalSoftware.co.uk appraisal dashboard overview

The vendor describes viewing employee and manager answers together and an anonymous multi-rater feedback option. That is a more focused proposition than adopting a broad HR suite for a review-only requirement.

Its published plans include a free plan for up to 10 active employees, Pro at £39.99 per month for up to 75 employees, and Organisation at £89.99 per month for up to 250 employees, charged per workspace excluding VAT.

Predictable pricing, narrower scope

Workspace-based charging can make budgeting straightforward within the applicable limits. Check campaign and administrator restrictions as well as employee allowances, particularly on the free plan.

  • Replaces: appraisal forms, campaign chasing and separate response-completion trackers.
  • Doesn't replace: core employee records, payroll or a broader employee-lifecycle platform.
  • Integration questions: confirm Teams and Outlook support, authentication, exports and any API before planning a Dynamics 365 connection.
  • Evaluation route: the free tier offers a way to test the workflow, subject to its limits.

Don't promise anonymous feedback until you've checked how the system handles small reviewer groups, exports and administrator access.

Before purchase, inspect data-processing terms, retention settings and deletion arrangements. Also test what happens when an employee leaves during an open campaign, because your HR system and appraisal tool will need a clear handover process.

10. SkillStation by Think Eleven

Competency-led employers should assess SkillStation's appraisal software against their skills framework, not just their annual review form. Its emphasis is structured, evidence-based assessment linked to defined competencies.

SkillStation appraisal and performance review overview

The vendor describes bespoke templates for different roles, functions and review situations, alongside feedback, reminders and activity tracking. That structure can suit organisations where managers need to explain what competence looks like and record evidence against it.

The limitation is the work behind the framework. Software won't resolve vague competency definitions or inconsistent assessor judgement.

Better for structured assessment than lightweight check-ins

  • Replaces: role-specific appraisal documents and disconnected competency-assessment records.
  • Strength: a defined assessment framework can make expectations clearer across job families.
  • Trade-off: maintaining competencies, evidence requirements and assessor guidance takes ownership and effort.
  • Pricing and trial: request a quote or demonstration; a public appraisal-page price isn't specified.
  • Microsoft connection: confirm Teams, Outlook, identity integration and Dynamics 365 interfaces rather than assuming compatibility.

Use the demonstration to compare contrasting roles. A technical specialist and a team leader shouldn't receive identical assessment criteria merely because a common template is easier to administer.

For UK and EU deployment, check who can access competency evidence, how disputed assessments are corrected and whether evidence remains available when responsibilities change. If appraisal outcomes influence progression or reward, retain the assessment rationale as well as the final score.

Matching Appraisal Software to Your Review Process

Choose software around the review process managers can run consistently. Annual and mid-year reviews depend on clear scheduling and records. Continuous feedback needs accessible check-ins, while competency-based assessment requires defined role expectations and supporting evidence. A framework only works if managers understand how to apply it.

Acas recommends regular performance reviews, describes at least annual reviews as good practice, and advises employers to record discussions and share the record with the employee. Feedback and coaching should also continue between formal reviews. Pilot the complete cycle, not just the final review form.

Agree the operating model

  • Data and governance: Decide what employee information to hold, who can access it and how retention periods will be justified. Check UK data-protection requirements separately from EU GDPR and relevant member-state employment rules.
  • Microsoft connections: Confirm whether the requirement is for Teams notifications, Outlook calendar links, identity management or Dynamics 365 data synchronisation. These are distinct capabilities and may involve different implementation work.
  • Total cost: Ask for subscription and add-on charges, setup, migration, training, support, VAT treatment and costs as headcount grows.
  • Pilot evidence: Test a realistic review cycle that includes a manager change, disputed feedback, an overdue action and an employee departure.

Pay-linked appraisals need more than a rating field. CIPD's UK employer research found that approximately 60% linked pay rises or bonuses for at least some employees to performance assessments, according to its pay, performance and transparency report. Before ratings affect reward, make sure the system retains objectives, evidence, calibration decisions and approval history.

Implementation test: Ask an employee to explain the outcome, then ask the manager what happens next. A completion dashboard cannot answer either question.

For Microsoft-centric organisations, HRManagement365 can connect reviews with wider employee processes through Power Platform workflows, approvals, reporting and integrations. Where standard functionality does not meet a requirement, it can also build custom HR applications on Dataverse. The proposal should distinguish standard Hubdrive or Microsoft functionality, HRManagement365 configuration and any supported extension.

I help HR leaders get off the admin hamster wheel with a Dynamics-based HR Management solution built on Hubdrive. HRManagement365 gives organisations a flexible HR platform within the Microsoft ecosystem that can be easily customised around the way they already work — rather than forcing teams into rigid, one-size-fits-all processes. It can be tailored to your HR workflows, integrated with Microsoft Dynamics 365 Business Central (BC) and Finance & Operations (F&O), and extended with Microsoft Power Platform to automate processes and connect HR more closely with the wider business. For employees, the experience stays familiar. They can interact with HR processes through the Microsoft tools they already know and use every day, including Teams, Outlook, Word and Power BI, helping drive adoption without introducing another unfamiliar system. The goal is simple: less manual admin, better-connected processes and an HR solution that fits your organisation.
